Job description:

We are seeking a highly experienced Payroll & Accounting Administrator with extensive expertise in payroll processing, compliance, and financial operations. This role is responsible for managing complex payroll functions for a large workforce while ensuring full compliance with federal, state, and local regulations. The ideal candidate is detail-oriented, analytical, bilingual (Spanish), and thrives in a fast-paced, deadline-driven environment.

Key Responsibilities:

  • Implement and manage payroll software systems
  • Process biweekly payroll for approximately 200 employees
  • Ensure accurate pension reporting and tax compliance
  • Maintain compliance with evolving federal, state, and local labor laws, including FLSA requirements
  • Perform general ledger (GL) operations, cash flow management, and bank reconciliations
  • Prepare and post payroll and pension-related journal entries
  • Track, analyze, and improve payroll and financial processes
  • Assist with balance sheets, bank reconciliations, purchase orders, accounts payable, and receipt of payments
  • Support audits with strong attention to detail and problem-solving skills
  • Create, document, and maintain standard operating procedures (SOPs)
  • Train finance staff on payroll systems, processes, and best practices
  • Collaborate across departments while demonstrating leadership and teamwork
  • Manage multiple priorities while meeting strict deadlines

Compliance & Reporting:

  • Ensure payroll regulatory and legislative compliance
  • Track and apply tax updates, garnishments, deductions, and special compensation
  • Administer pension contributions and reconciliations
  • Assist with benefit-related reconciliations to align payroll deductions with carrier invoices
