The Part-Time Administrative Assistant will provide the marketing team with administrative and ad hoc support, with a focus on keeping department materials organized. This position will complete the following activities as assigned:

  • Perform data entry and scan documents
  • Maintain and improve an electronic filing system
  • Log and update marketing department records in excel including RFP Log, Marketing Compliance Log, Articles and Conference Logs, Master Contacts, Client logs, etc.
  • Complete department printing, scanning and production tasks for RFPs and other marketing presentations, including tabs, spiral binding, mailing labels and keeping production materials organized
  • Assist in formatting and/or updating marketing materials in Word, Excel, and PowerPoint
  • Provide administrative and project support for a variety of marketing projects
  • Ad hoc research requests, as needed (examples – can you do a web search for info about this pension, or grab the annual report from their website, or pull the requirements for the minority business requirements for the state of HI)

Key qualities -

  • Prior administrative experience
  • Working knowledge of office equipment
  • Proficiency in MS Word, MS PowerPoint
  • Basic knowledge MS Excel
  • Strong written and verbal communication skills
  • Attention to detail
  • A high degree of organization
  • Capacity to work independently
