Job Summary
We are seeking a detail-oriented and organized Filing Clerk to join our dynamic office team. In this vital role, you will be responsible for maintaining accurate and accessible filing systems, supporting administrative operations, and ensuring that all documents are properly stored and retrieved efficiently.
Part-Time ONLY
Monday & Tuesday 7:30AM-5:30PM (no OT)
Responsibilities
- Organize, file, and maintain physical and electronic documents with precision and care.
- Manage incoming and outgoing correspondence, ensuring proper documentation and storage.
- Coordinate calendar management and appointment scheduling for staff members.
- Proofread documents for accuracy, clarity, and professionalism before filing or distribution.
- Handle general clerical tasks such as photocopying, scanning, mailing, and maintaining office supplies inventory.
- Provide customer support by addressing inquiries promptly via phone or email while practicing professional phone etiquette.
- Support office management activities by organizing files systematically for quick retrieval and compliance purposes.
Requirements
- Proven experience in office administration or clerical roles with strong organizational skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry software.
- Excellent computer literacy with the ability to learn new office management tools quickly.
- Strong typing skills with attention to detail for proofreading and data accuracy.
- Experience with filing systems—both physical and digital—and record keeping best practices.
- Ability to manage multiple tasks efficiently while maintaining a positive attitude under pressure.
- Bilingual abilities are a plus to support diverse client interactions.
- Prior experience in customer service or front desk operations is highly desirable.
- Knowledge of office equipment such as multi-line phone systems, scanners, copiers, and fax machines.
