Job description:
We are seeking an organized, detail-oriented Administrative Assistant to provide daily support to the Human Resources department. This role is ideal for someone who enjoys working in a fast-paced environment, can maintain strict confidentiality, and is comfortable handling a wide range of administrative and HR-related tasks. The Administrative Assistant will play a key part in supporting employee onboarding, recordkeeping, HR communication, and general office operations.
Key Responsibilities:
- Serve as the first point of contact for the HR department by answering phones, greeting visitors, and responding to general inquiries.
- Assist with recruitment activities, including job postings, application tracking, interview scheduling, and candidate communication.
- Prepare, organize, and maintain personnel files in compliance with company and legal requirements.
- Process and track HR documents such as onboarding packets, I-9s, background checks, status changes, and performance evaluations.
- Assist with new hire orientations and ensure all required paperwork is completed accurately.
- Support HR team with data entry, reporting, and updating employee information in HR databases or systems.
- Draft and proofread memos, forms, letters, and internal communications.
- Maintain HR logs, spreadsheets, and filing systems for easy retrieval and accuracy.
- Help coordinate employee events, trainings, and meetings as needed.
- Handle confidential information with discretion and uphold company privacy standards.
- Provide general administrative support including scanning, copying, scheduling, and preparing materials.
Qualifications:
- High school diploma or equivalent required; additional HR coursework or certification preferred.
- 1–3 years of administrative experience, HR support experience strongly preferred.
- Strong organizational skills with the ability to prioritize tasks and meet deadlines.
- Excellent communication skills—both written and verbal.
- Proficient in Microsoft Office (Word, Excel, Outlook) and comfortable with HR or office software systems.
- Ability to handle sensitive and confidential information in a professional manner.
- Strong attention to detail and accuracy in data entry and documentation.
- Ability to work independently and as part of a team in a fast-paced environment.
Preferred Skills:
- Experience with applicant tracking systems or HRIS platforms.
- Bilingual (Spanish/English) is a plus.
- Prior experience supporting onboarding or recruitment processes.
