Job Title: Office Administrator / HR Coordinator
Key Details:

Summary:
We are seeking a reliable and detail-oriented Office Administrator to support the daily operations of our front office and Human Resources department. This role will assist the HR Manager with a wide range of responsibilities, including full-cycle recruitment, employee relations, training support, and recordkeeping. The ideal candidate is highly organized, customer-focused, and able to balance multiple priorities in a fast-paced environment.
Key Responsibilities:
- Coordinate full-cycle recruiting, including job postings, phone screens, interview scheduling, and new hire orientations.
- Maintain company training files, ensure on-the-job training is completed/documented, and update training programs as needed.
- Manage front desk operations, greeting and assisting employees, visitors, and customers.
- Provide excellent customer service to employees regarding HR-related questions and workplace support.
- Assist employees and guests with building access and ID badges.
- Coordinate employee engagement and appreciation programs/events.
- Create and process customer invoices daily, verify pricing/quantities, and resolve discrepancies.
- Support the Accounting Department with billing tasks, including processing credit card orders and credit memos.
- Assist with ad hoc administrative tasks and projects as needed.
- Maintain a positive, professional, and safe working environment.
Qualifications & Skills:
- 2–4 years of experience in an HR-related or administrative role; OR Associate’s degree with emphasis in HR plus 1 year of related experience.
- Proficiency with Microsoft Office Suite (Excel, Outlook, PowerPoint, Word, SharePoint); HRIS experience preferred.
- Strong interpersonal and communication skills, both written and verbal.
- High level of confidentiality and ethical behavior.
- Excellent organizational skills and attention to detail.
- Bilingual in Spanish is a plus, but not required.
- Knowledge of federal and state employment laws preferred.
